📘 1. What is auto-share?
1.1. Definition
Auto-share is a feature that automatically shares certain events or meetings with people or services based on predefined rules.
When auto-share is enabled, Upmeet can share:
new events created in your calendar,
meetings you are participating in,
or already existing meetings, depending on your settings.
1.2. Why use auto-share?
Time saving: no need to share each meeting manually.
Consistency: your team consistently receives updates or information.
Transparency: your colleagues maintain visibility on important events.
Automation: Upmeet applies your preferences without your intervention.
🔧 2. How does auto-share work?
Auto-share can work in several ways depending on your settings:
2.1. Automatic sharing with other people
When an event is created in your main calendar:
it can be automatically shared with a group or team.
Example:
All Meeting Pro meetings become visible to your colleagues without you having to invite them individually.
2.2. Synchronization between services
Your events from one service (Google Calendar, for example) can be automatically copied to another calendar or platform.
Useful if you use multiple tools.
2.3. Sharing availability
Instead of sharing the content of meetings, auto-share can:
share only the occupied time slots,
without revealing the details of the meetings.
⚙️ 3. Auto-share options in Upmeet
In Upmeet, auto-share allows you to choose with whom your meetings are automatically shared.
You have three options:
✔️ Option 1: No one
No automatic sharing.
All your meetings remain private unless you decide manually to share them.
✔️ Option 2: Only me
The meeting is recorded only for you.
Upmeet does not share it with other participants, even if they were in the meeting.
✔️ Option 3: All participants
All invited people to the meeting automatically receive:
the minutes,
and possibly the transcription (if you enabled it).
🔁 4. Auto-share and recurring events
When you enable auto-share on a recurring event, Upmeet asks you:
“Do you want to modify only this event or all events?”
You can choose:
Only this event: the rule will apply to just one occurrence.
All events in the series: the setting will apply to the entire recurrence.
This allows you to precisely customize the auto-share behavior according to the nature of your meetings.
📬 5. Interactions with mailing lists
The mailing lists work very well with auto-share.
Usage examples:
automatically share business meetings to the Sales Team list,
share all weekly committees to Management,
automate the distribution of a report to a predefined group.
Thanks to this, you no longer need to select recipients one by one.
